Overview

ClinVio™ is a clinical adjudication talent and operations platform that connects sponsors (pharmaceutical, biotechnology, medical device, and contract research organizations) with verified physician experts for clinical trial adjudication, clinical event committees, medical monitoring, and expert medical review engagements.

This Privacy Policy describes the information ClinVio collects, how it is used, with whom it is shared, and the choices available to you. It applies to doctors, company users, and administrators who use ClinVio.

Information ClinVio Collects

Account information — name, email address, role, and authentication details needed to operate your account.

Professional information — credentials, CV/résumé, clinical experience, clinical trial experience, adjudication experience, board certifications, publications, education, and professional affiliations provided by doctors.

Contact information — name, email, phone, location, time zone, and language preferences.

Company information — organization name, type, industry, billing contacts, and team member assignments provided by company users.

Platform activity — engagements, interviews, contracts, timesheets, payments, searches, and administrative actions performed within ClinVio.

Technical and security information — device, browser, IP address, and audit log entries used to secure and operate the service.


How Information Is Used

ClinVio uses the information it collects to:

  • Operate and maintain the ClinVio platform.
  • Verify professionals and their credentials.
  • Match doctors with relevant clinical opportunities.
  • Share approved professional profiles with companies for specific, approved requirements.
  • Communicate with you about opportunities, engagements, interviews, and account matters.
  • Manage engagements, contracts, timesheets, and payments.
  • Process operational and financial activity.
  • Improve and secure the service.
  • Meet legal and contractual obligations.

Information Sharing

ClinVio does not sell your personal information. Doctor information may be shared with companies only through approved ClinVio workflows (for example, when ClinVio shares a profile for a specific study requirement). Companies do not receive unrestricted access to the ClinVio physician database.

ClinVio distinguishes the following categories of information:

  • Public professional information — information suitable for display in an approved shared profile.
  • ClinVio internal information — administrative notes, matching data, and operational records used internally.
  • Company-shared profile — the approved subset of a doctor's professional profile shared with a company for a specific requirement.
  • Sensitive verification information — credentials, identity documents, and license numbers, access to which is restricted.

ClinVio may disclose information when required by law or to protect the rights, safety, or integrity of the service.


Service Providers

ClinVio uses service providers for hosting, data storage, communications, analytics, and similar operational purposes. These providers process information on ClinVio's behalf under appropriate instructions and are expected to protect it consistent with this policy.


Data Retention

ClinVio retains information for as long as your account is active and as needed to provide the service. Records such as contracts, credentials, audit logs, and financial records may be retained for longer periods to meet legal, contractual, or operational obligations. You may request deletion of your information; certain records may be retained where ClinVio is required or permitted to do so.


Your Rights

Depending on your location, you may have the right to:

  • Access the information ClinVio holds about you.
  • Correct information that is inaccurate.
  • Delete your information, where applicable and permitted.
  • Download a copy of your information.
  • Ask questions about how your information is used.

To exercise any of these rights, submit a Privacy Request. ClinVio will review and respond to verified requests. Deletion requests are routed for authorized review and are not fulfilled automatically on submission.


Security

ClinVio uses access controls, role-based permissions, and audit logging to protect information. For details, see the Data Security page. ClinVio does not claim any security certification it has not obtained.


Children

ClinVio is intended for professional and business users and is not directed to children. ClinVio does not knowingly collect information from children.


Updates

ClinVio may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last Updated" date above. Continued use of ClinVio after changes take effect constitutes acceptance of the updated policy.
